How we look after your information.

Your health information is personal, and we treat it that way. This policy explains what we collect, including through our Facebook and Instagram enquiry forms and the cookies on this website, why we need it, who we share it with, and how you can see, correct or remove it.

  • Health Information Privacy Code 2020
Who we are
Classics Dental Ltd (“we”, “us”) is a dental clinic at 144 Queens Road, Panmure, Auckland 1072. We respect your privacy and handle your personal and health information in line with the Privacy Act 2020 and the Health Information Privacy Code 2020.

This policy covers information we collect at the clinic, by phone and email, through this website, and through our social media pages and advertising, including Facebook and Instagram.

Our Privacy Officer is Dr Kritesh Maharaj. You can contact him at reception@classicsdental.com or on 09 570 2823.

What we collect
We may collect your name, date of birth, address, phone number and email; your dental and medical history, X-rays, 3D scans, photographs and treatment records; information you give us when you book, call, email or fill in a form on our website or on Facebook or Instagram; and the payment and account information we need to bill you.

We only collect what we need to provide your care and run the clinic.

How we collect it
Mostly directly from you. Sometimes we also receive information from other health providers, such as your GP, a specialist or a dental laboratory, when it’s needed for your care. We also receive information from Meta when you submit one of our enquiry forms on Facebook or Instagram.
Facebook and Instagram enquiry forms
When you fill in one of our enquiry forms on Facebook or Instagram, Meta passes us the details you enter. This is usually your name, phone number and email address, and your answers to a few short questions, such as which treatment you’re interested in and the best time to contact you.

We use these details only to respond to your enquiry, book an appointment if you’d like one, and tell you about the treatment or offer you asked about. We don’t ask for details of medical conditions in these forms.

Meta also collects information when you use its apps, under its own privacy policy at facebook.com/privacy. If you don’t go on to become a patient, we delete your enquiry details within 12 months, or sooner if you ask us to.

Why we use it
We use your information to assess your suitability for treatment and provide your dental care; contact you about appointments, enquiries and follow-up; communicate with other providers involved in your care; send invoices and manage payments; and meet our legal and professional obligations.
Advertising and measurement
We may use Google Analytics and the Meta Pixel on our website. These help us understand how people use the site, see how well our Facebook and Instagram ads work, and show our ads to people who have visited our website. They record things like the pages you visit and the type of device you use.

These tools never receive your health records. We don’t use your health information to target advertising, and we don’t upload patient lists to Meta or Google.

Cookies
Cookies are small files a website saves in your browser. Our website uses them for Google Analytics (cookies named _ga, _ga_ followed by an ID, and _gid) and, if we run Facebook or Instagram ads, the Meta Pixel (cookies named _fbp and fr). They don’t identify you by name.

Our online booking page is run by a separate booking provider, which may use its own cookies. Their privacy policy applies when you book online.

You can block or delete cookies at any time in your browser settings, and you can manage the ads you see on Facebook and Instagram in your Meta ad preferences. The website will still work if you block cookies.

Who we share it with
We only share your information where it’s needed for your care, where you’ve agreed, or where the law requires it. This can include dental laboratories, including overseas laboratories that make crowns, dentures, aligners and other appliances; aligner manufacturers; specialists, supervising or consulting clinicians and other health providers involved in your treatment; ACC, WINZ, Te Whatu Ora or insurers, with your consent; and our IT, software, booking and advertising providers, who must keep it confidential.

We do not sell your information.

Information sent overseas
Some of the organisations we work with are based outside New Zealand. These include overseas dental laboratories and aligner manufacturers, and technology providers such as Meta and Google.

When information goes overseas, we only send what’s needed, and we take reasonable steps to make sure it’s protected by safeguards comparable to those in New Zealand’s privacy law.

How we store and protect it
Your records are stored securely, electronically and/or on paper, with access limited to authorised staff. We keep health records for at least 10 years, as required by law, then destroy them securely.

If a privacy breach is likely to cause serious harm, we will tell you and the Privacy Commissioner.

Your rights
You can ask to see the information we hold about you, and ask us to correct it if it’s wrong. If we can’t make a correction you’ve asked for, you can ask us to attach a note of the correction you wanted to your record.

You can also ask us to delete your enquiry details if you’re not a patient, or to stop sending you marketing at any time. Contact us using the details below, and we’ll respond within 20 working days.

Children and young people
When you book for a child, a parent or guardian usually gives and receives information on their behalf. Young people can also contact us directly about their own information.
Emails and texts
We’ll send appointment reminders and information about your treatment. We’ll only send you marketing messages if you’ve agreed, and every message will include an easy way to opt out.
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
